Job Overview 

 

We are looking for a motivated and detail-oriented HR Junior Admin to join our team. The ideal candidate will provide essential administrative support to our HR department, ensuring smooth and efficient operations. This role involves maintaining employee records, assisting with onboarding and offboarding processes, and supporting various HR functions. 

 

Responsibilities: 

  • General Administrative Support: 
  • Provide administrative assistance to the HR team, including scheduling meetings, notes taking, managing calendars, and handling internal and external correspondence, issuing documents as needed. 
  • Maintain and organize HR department files, records, and documents both physically and digitally. 

 

  • Employee Document Management:   
  • Ensure that new hires' and employees' records and databases are accurate and up-to-date. 
  • Prepare and distribute HR-related documents such as offer letters, contracts, policies, terminations letters, work certificates, and others as needed.  

 

  • Onboarding and Offboarding Support:  
  •  Assist in the onboarding process for new employees by preparing necessary paperwork, documentation and coordinating induction programs.  
  • Prepare training agreements and employment contracts. 
  • Assist employees with NIF/NISS matters and support them in submitting required documents. 
  • Support HR in conducting exit interviews and processing employee terminations.  

 

  • Recruitment Assistance:   
  • Coordinate job postings on various platforms and assist in scheduling interviews.  
  • Communicate with candidates and provide logistical support during the recruitment process.  

 

  • Employee Relations Support:   
  • Provide support and address employees' general inquiries regarding HR policies, benefits, procedures, and related matters. 
  • Assist in organizing employee events, activities, and training sessions.  

 

  • Compliance and Reporting:   
  • Ensure HR practices comply with company policies and legal regulations.  
  • Assist in generating HR reports and maintaining HR metrics as needed.  

 

  • Support HR Projects:   
  • Participate in HR projects such as employee engagement surveys, performance appraisal processes, or policy updates. 
  • Collaborate with team members to implement HR initiatives and improvements.  

 

  • Assist in Benefits Administration:   
  • Support in administering employee benefits programs, including enrollment and updates.  
  • Assist employees with benefit-related inquiries and issues.  

 

  • Continuous Learning and Development:   
  • Stay updated on HR best practices and industry trends through training and self-learning.  
  • Contribute ideas and suggestions to improve HR processes and efficiency.  

 

  • Team Collaboration:   
  • Work closely with other HR team members and departments to ensure seamless HR operations.  
  • Support the HR team with administrative tasks as required. 
  • Escalate queries to the relevant department promptly. 
  • Any other job assigned from time to time by Senior Management as required. 

 

Qualifications:   

  • Bachelor's degree in Human Resources Management, Business Administration, or a related field (or equivalent practical experience).  
  • Proven experience in administrative roles, preferably within an HR department.  
  • Knowledge of labor laws, regulations, and HR best practices.  
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.  
  • Excellent verbal and written communication skills.  
  • Proficiency in MS Office Suite and HR software (e.g., HRIS, ATS).  
  • Ability to handle confidential information with integrity and discretion.  
  • A proactive approach to problem-solving and a strong attention to detail.  
  • Ability to work both independently and collaboratively as part of a team.
